Gather your documents
Open what you have: your website, price list, terms, a proposal, and one real unanswered client message. No documents? That's fine, the next step still works.
ResourcesContext Card kit
Free kitThree copy-paste prompts that teach any AI how your business works: your services, prices, policies and tone. Then it answers real client messages and paperwork in your voice.
Works in ChatGPT, Claude or Gemini. A free plan is enough.
Open what you have: your website, price list, terms, a proposal, and one real unanswered client message. No documents? That's fine, the next step still works.
Open a fresh chat in any AI. Paste this prompt, then paste your materials under MATERIALS. Change the priority process in brackets to the one that matters most to you.
You are my assistant for building my business CONTEXT CARD: a single page that summarizes everything an AI needs to know to work for me. Below I paste loose materials (website copy, price list, terms, real messages). Build the card with EXACTLY these 8 sections, in the language of my materials, one page maximum: 1. IDENTITY: what we do, for whom, in one sentence (write the best sentence possible from what's available; use [MISSING] only if there is nothing usable) 2. SERVICES AND PRICES: with real numbers 3. TIMINGS: delivery, response time, availability 4. POLICIES: payment, cancellation, changes, guarantees, and what I never negotiate (discounts, deadlines, scope) 5. TONE: formal or informal, 3 adjectives, how I sign off, one thing I would NEVER say 6. TOP 5 CLIENT QUESTIONS: and my answers 7. WHAT WE DON'T DO: and signs of a client who doesn't fit 8. RIGHT NOW: promos, capacity, priorities My priority process (give extra detail to whatever affects it): [write yours, e.g. tracking prospects from first contact to "paying and active"]. HARD RULE: use ONLY what is in the materials. Anything missing, write it as [MISSING: description]. Do not invent anything. After the card, add a final block titled DIAGNOSIS, analyzing the card against my priority process: - The 3 missing pieces that hurt my priority process most, and why - The 5 exact questions I should answer first to complete the card (my homework) - 1 suggestion: the first thing worth automating once the card is complete Be direct. No padding. MATERIALS: <<paste everything here>>
You get your Context Card v1 and a DIAGNOSIS block. Read the diagnosis first: your number one gap is where to start.
In the same chat, answer the questions the AI asked you: "Here are the answers to your questions: ..." and ask it to rewrite the card, complete. That is your card v2. Save it somewhere you can paste it from.
Same chat. Paste this, then your card v2 and the real client message.
Below is my CONTEXT CARD and a real message from a potential client. Today's date is: [write today's date]. Do three things: 1. QUALIFY: do they fit? which service applies? what information am I missing to close them? any red flags (section 7)? 2. REPLY: write the ready-to-send answer, using my real prices and policies, in my tone (section 5), in the language of the client's message. Maximum 120 words, message format (WhatsApp or short email), with a clear next step. 3. FOLLOW-UP: tell me when and how to follow up if they don't answer (a concrete date). CARD: <<paste card v2>> MESSAGE: <<paste the client message>>
Same chat. Paste this, then your card v2 and one messy real input: notes, receipt text, a message thread, a CV.
Below is my CONTEXT CARD and one messy real input from my business (notes, receipt text, a message thread, a CV...). Today's date is: [write today's date]. Do three things: 1. STRUCTURE: turn the input into a clean organized record (table or list), using my card's categories and services where relevant. Flag anything unclear as [CHECK: description]. 2. DRAFT: write the follow-up document that naturally derives from it (client summary, email, ledger entries, checklist...), in my tone, in the language of my materials, ready to use. Maximum 150 words. 3. NEXT: one concrete next action with a date. CARD: <<paste card v2>> INPUT: <<paste the messy input>>
This is the do-it-yourself version. We teach it to whole teams in a half-day workshop, or build it into your tools so it runs on its own.
